Broker Portal
The Broker Portal is a self-service surface for external dealflow contributors. Brokers find watches in the market, forward deal leads to the dealer team, and earn commissions when those watches are acquired and sold. The entire deal submission flow runs through WhatsApp; the portal is where brokers track status, monitor earnings, and manage their account.
Access is limited to users assigned the broker role within an organization. Brokers see only their own submissions, commissions, and payouts — never other brokers’ data.
Dashboard
What it is The starting screen that consolidates a broker’s activity at a glance: commission KPIs, deal pipeline counts, a curated list of what the dealer team is actively looking for, an action checklist, and recent earnings charts.
What you can do here
- Review key numbers: total earned to date, amount due or pending, earnings this calendar month, current pipeline value, and average deal value — all with month-over-month trend indicators.
- See a live pipeline funnel broken into four stages: New, In Review, Approved (accepted into inventory), and Converted (sold).
- Browse the dealer’s active Want List — watches they are currently seeking, ranked by urgency. Flag items you are actively sourcing by toggling “I can find this” / “I’m working on this” directly from the dashboard.
- Review an action checklist that surfaces open submissions missing photos, submissions without an asking price, any admin or buyer feedback posted on your leads, and the current status of any open payout request.
- See upcoming payouts (approved commissions awaiting disbursement) and file a payout request when funds are available.
- View an earnings trend chart and a brand mix donut chart showing which brands you have historically sourced.

Accepted Deals
What it is A ledger of every deal submission that moved past admin review into an active or sold deal. This page also shows the full pre-acceptance funnel — every submission still under review and any that were not accepted.
What you can do here
- See all submissions currently in review (Submitted, In Review, Approved, and Not Accepted stages) in a summary panel above the main table.
- View rejection reasons for submissions that were not accepted.
- Browse the accepted deal ledger filtered by status: Active, Sold, Pending, or Cancelled.
- See each deal’s watch details (brand, model, reference), source type (Sourced, Referred, Co-Sourced), deal status, commission percentage, and submission date.
- Open a deal detail page to see the full deal journey — a step-by-step timeline from acceptance through sale, commission release, and payout.
Who can access
Users with the broker role. Each broker sees only their own submissions.
Deal Detail
What it is A per-deal view showing where a specific deal stands in its lifecycle, what commission is attached to it, and what steps remain before the broker is paid.
What you can do here
- Review watch details: brand, model, reference number, source type, asking price, commission percentage, and commission dollar amount.
- Track the deal journey through four milestones: Accepted into inventory, Sold, Commission released, and Commission paid — with dates shown for completed steps.
- Navigate directly to the Commissions page to manage a payout request against this commission.
Who can access
Users with the broker role. A broker can only open deal detail pages for their own deals.
Commissions
What it is A complete payout ledger showing every commission the broker has earned, along with tools to request a disbursement and download records.
What you can do here
- See summary KPIs: total pending (includes both pending-review and approved-but-unpaid commissions), total paid, lifetime earnings, and the date and amount of the last paid commission.
- Filter the commission table by status: Pending Review, Awaiting Payout, Paid, or Cancelled.
- Filter by date range for CSV export.
- Export commission history to CSV with the current status and date filters applied.
- File a payout request for all approved, unpaid commissions at once. The payout request captures the full list server-side; the broker only provides an optional note. Owners receive a notification and the broker tracks request status (Requested, Awaiting Sign-off, Sign-off Complete) directly on this page.
- Cancel an open payout request before it is processed.
- View a payout receipt for any commission marked Paid; receipts can be printed.
- Dispute a commission in Pending Review, Awaiting Payout, or Disputed status by providing a reason and a category (Amount, Attribution, Timing, or Other).
Who can access
Users with the broker role. Brokers see only their own commissions. Sale prices are never shown — only commission amounts.
Signals to Claim
What it is A real-time feed of parsed watch listings and “wanted to buy” posts detected in the broker’s connected WhatsApp groups. Each signal represents a potential deal lead the broker can submit to the dealer team with a single tap.
What you can do here
- Browse signals filtered to Actionable (listings, for-sale posts, and wanted posts) or All signal types.
- Toggle visibility of already-claimed signals.
- Review AI-parsed details for each signal: extracted brand, model, reference number, asking price, deal type, seller sentiment, and a confidence score.
- Claim a signal to create a deal lead that admin then reviews. Claimed signals move to the Deals page.
Who can access
Users with the broker role. Each broker sees only signals captured from their own WhatsApp connection.
Analytics
What it is A deeper performance view that shows earnings trends, submission funnel conversion, brand mix by revenue, submission velocity, and source-group activity over time.
What you can do here
- Review lifetime earnings, total paid out, outstanding amount, and overall submission-to-sale conversion rate.
- View a 12-month area chart showing earned vs. paid-out commissions by month.
- Inspect the submission funnel — how many deals progressed from Submitted through In Review, Approved, and Converted — and see rejection counts.
- View earnings broken down by watch brand in a donut chart.
- See a 30-day daily submission velocity sparkline showing how many deals were forwarded per day.
- View a source-group heatmap showing which WhatsApp groups produced deals over the last 30 days, with relative activity intensity per group per day.
- Review a list of recent paid-out commissions.
Who can access

Messages
What it is A legacy inbox placeholder. All active deal conversations now happen through WhatsApp; the portal inbox is read-only legacy history and does not accept new messages.
What you can do here
- View historical messages that were recorded before the WhatsApp-first workflow was introduced. No new portal messages can be sent.

Settings
What it is The broker’s account management area, organized into four tabs: Profile, Payout Info, Password, and WhatsApp.
What you can do here
Profile tab
- Update your display name, phone number, and avatar URL.
- View read-only account info: email address, role, and join date.
Payout Info tab
- Enter or update banking details used when the dealer team processes a payout: institution name, routing number, SWIFT/BIC, full account number, preferred payment method (Wire, ACH, Zelle, Check, or Other), and notes.
- The full account number is encrypted at rest and is never echoed back to any browser session. Only the last four digits are displayed after saving. Owners access the full details through a separate audited process when issuing payment.
Password tab
- Change your login password. The new password must be at least 8 characters. A successful change invalidates your current session and signs you out.
WhatsApp tab
- Link your personal WhatsApp account by scanning a QR code. Once linked, deal discoveries you forward from your WhatsApp groups are captured automatically as signals and can be claimed into deal leads.
- View the status of your WhatsApp connection (Not Linked, Connecting, or Connected).
- Unlink WhatsApp at any time. Signal capture stops immediately until WhatsApp is re-linked.

Seller Portal
The Seller Portal is the self-service surface intended for users assigned the seller role. Sellers log sales they have closed and view their own commission earnings — without access to other sellers’ records or to the broader financial data the admin-side CRM exposes.
Current status: the Seller Portal is disabled.
All Seller Portal routes (/seller, /seller/inventory, /seller/sales, /seller/settings) currently redirect to a “role disabled” page, and all backing API endpoints return a 403 error with the message “Seller portal disabled for launch.” The role and its intended capabilities exist in the system, but the portal UI and APIs are not active in the current release.
When enabled, the portal is expected to provide the following surfaces:
Dashboard (Planned)
What it is A personal performance overview for the seller: sales logged, commissions earned, and recent activity.
Who can access
Users with the seller role, once the portal is enabled.
Inventory (Planned)
What it is A view of watches in the organization’s inventory that are relevant to the seller’s work.
Who can access
Users with the seller role, once the portal is enabled.
Sales (Planned)
What it is A record of sales the seller has logged, scoped strictly to their own book. Sellers cannot see sales logged by other sellers.
